We are seeking a top calibre Personal Assistant/Office Manager to work with a high profile and highly respected professional in the field of psychology.
The position will always be interesting and challenging, never boring ????? ????? suit a person who has sensitivity and a genuine concern for people and will treat them with courtesy and respect.
The role offers great diversity allowing your multiskilling ability to come to the fore. Certainly not your normal 'run of the mill' pedestrian position.
Personal Assistant Responsibilities
- Diary management: booking of counselling sessions, assessments both on and off site
- Typing and proofing of all confidential reports
- Copy and format final version of reports to relevant Solicitors, Victoria Legal Aid and Barristers
- Appointment rescheduling to facilitate court appearances
General Administrative and Reception Responsibilities
- Manage emails, incoming and outgoing mail
- Maintaining stationery and kitchen supplies and ensuring ????? ????? is in good order
- Archive files
- Answer incoming calls, taking messages as necessary
- Appointment scheduling
- Welcoming patients
- Set up and maintain clients/suppliers on accounting system
- Train and liaise with relief secretarial staff
- Liaise with contractors re maintenance of building/equipment etc
Accounting Responsibilities
- Maintain up to date receipt of all debtors on Quickbooks, including cash credit and cheque payments
- Issuing receipts and invoices as required
- Calculation, invoicing and administration of all rental accounts for visiting consultants
- Prepare and maintain spreadsheets of rental income
- Internet banking, bank deposits and bank reconciliations
- Printing month end statements and follow up outstanding accounts
- Record and reconcile petty cash
- Provide figures to outside accountant for BAS preparation etc.
Personal and Professional Attributes
- Strong and accurate audiotyping
- Excellent communication and attention to detail
- Ability to prioritise and multi task
- Computer Literacy (Word, Outlook, Excel and Quickbooks)
- Excellent interpersonal skills to facilitate third party relationships with solicitors, barristers and prison staff
- Ability to set appropriate boundaries with patients/clients
- Confidentiality
Whilst a strong work history in a senior PA role is required, if you have an interest, insight or studied in the fields of psychology and/or social sciences this would be advantageous.
Hours of work are Monday to Friday 8.45 a.m. to 5.15 p.m. with an extremely generous salary and free on site parking. An immediate start is available.
