Office Administration Co-Ordinator

  • Our client is a worldwide engineering ????? ?????  consulting company who are offering ????? ????? role to a dynamic self starter, who will become their Perth based Administration Co-ordinator and work closely with counterparts in 3 states.

    Responsibilities are:

    • Provide support to management/ project team and regional office with minimal supervision
    • Develop and display thorough knowledge of company policies/ procedures
    • Provide frequent contact with clients, suppliers or company employees
    • Assist in office activities, administration flow and perform administrative support
    • Generate/ distribute ad hoc reports, letters, memos, spreadsheets and presentations
    • Maintain filing activities and system
    • Maintain & schedule meetings, events, office functions/ catering
    • Organising office travel arrangements i.e. ticketing, hotel reservations and visa requirements and visit rosters
    • Co-ordinate time sheet collection
    • Track, route and verify accuracy of invoices prior to approval
    • Assist in review, verifying and preparing ????? ?????/ statements
    • Assist with securing ????? ?????, cars, phones for new employees as well as off-shore office staff
    • Work with HR to assist with house leasing, notification, termination pertaining to expat mobilisation and demobilisation
    • Work with Admin/HR to assist with car leasing management, fuel cards, violation notification, termination pertaining to expat mobilisation and demobilisations
    • Keep track of asset movements
    • Maintenance of the office such as cleanliness, safety/security access & key records and distribution.
    • May perform contracting and procuring ????? ?????
    • Arranging office space and relocating staff
    • Act as backup for other admin support staff in other state offices

    The successful candidate will display:

    The ability to work autonomously along with staying motivated
    • Be a self starter
    • Proficiency in a previous secretarial and administrative support role
    • 3-5 years of working experience in a administrative capacity
    • Ability to use independent judgment and make decisions
    • Consistently apply initiative to anticipate and pro-actively resolve issues
    • To co-operate as an active team member
    • Enjoy communicating regularly, and communicate well via phone/ email
    • Apply commonsense to daily activities and tasks
    • Trusted to work hard autonomously
    • Enjoy administration and being a part of a bigger national team
    • Flexible, pro-active/ can do attitude and personable demeanour
