  • Australia's largest health research institute based in North Melbourne has an opening for a senior Executive Assistant to provide close one on one support to the Director. This position provides very high level administrative and secretarial support to the Director and acts as an interface between the Director and members of the board and the public.

    Key responsibilities:

    • Daily diary management, organising itineraries, agendas and meeting papers
    • International and domestic travel bookings
    • Management of correspondence including emails
    • Preparations of PowerPoint presentations
    • Liaison with internal staff and associates on behalf of the Director
    • Maintaining prompt and open lines of communication; screening all calls
    • Organising meetings/events, including issuing of invitations, setting up of rooms/catering
    • Minute taking at executive committee meetings
    • Coordinating contact with Government and media parties
    • Coordinating public relations activities in conjunction with the Public Relations and Development team
    • Organising and managing research submissions, publications and other relevant institute research material
    • Assisting and coordinating personal activities for the Director
    • Expense reconciliation
    • Occasional reception relief

    To be successful for the role you must have the following:

    • Previous experience in high level support to Executive Managers/Directors
    • Capacity to offer 100% support to the Director and his activities
    • An understanding of the research, tertiary and health environment, its influencers and drivers and capacity to provide admin support to the Director in relation to his own research projects would be highly desirable
    • Ability to problem solve
    • Exceptional written and verbal communication and interpersonal skills
    • Excellent time management and organisational skills
    • Negotiation and diplomacy skills
    • Energetic and capable of responding to the demands of the position, which at times may include some out of hours commitment
    • Ability to proactively anticipate and manage the Director's needs
    • Ability to work autonomous and in a team and build close partnership
    • Committed to confidentiality and discretion
    • Flexible with a pleasant personality, sensitive and a good listener
    • Proficient in the MS suite with high level typing speed
    • Experince in the tertiary and/or health sector would be highly desirable

    Please Note: The position will begin on a temporary basis with view to go onto a fixed term contract due to company policy.
