beyondblue: the national depression initiative is a national not for profit organisation working to increase awareness and improve treatment of depression, anxiety and related substance use disorders and reduce the associated stigma.
The Administration team plays an important role in supporting beyondblue’s program areas by providing a wide variety of administrative and secretarial assistance. This role will provide support across beyondblue but particularly to the National Perinatal Depression Initiative (NPDI) team. The NDPI team is responsible for beyondblue’s role in supporting the implementation of the NPDI, which includes undertaking research to enhance knowledge of perinatal depression and developing community awareness activities and promotion of help-seeking behaviour in relation to perinatal depression.
We are looking for an experienced Administration Officer to join the team at beyondblue reporting jointly to the National Program Manager Perinatal Depression Initiative and HR & Administration Manager. In this interesting and diverse role you will:
- Organise meetings and teleconferences for Reference groups and committees including booking meeting venues and catering, and sending confirmation of date/s, venue and other details to relevant stakeholders
- Prepare meeting agendas, take and distribute complex minutes, and ensure follow-up of action items arising from NDPI meetings
- Provide general administrative and secretarial support to beyondblue program areas including preparation and formatting of documents, presentations, research of general information, mail outs, data entry, and assistance with Board papers, etc
- Provide primary back up relief for reception
With at least 3 years experience in a similar administrative or secretarial role, you will be highly organised with the ability to manage priorities in a busy team environment. Ideally, you will have a Certificate / Diploma in office/business administration or a related field. You will also have:
- An excellent phone manner with the ability and confidence to communicate both verbally and in writing to people at all levels internally and externally
- A demonstrated ability to prepare agendas and take complex meeting minutes
- A high level of attention to detail in all aspects of work
- Intermediate to advanced skills in Microsoft Word, Excel, PowerPoint, Outlook, Internet Explorer and Adobe Acrobat.
