Administration Assistant - CO-OPS Collaboration

    This position provides professional administrative assistance for the CO-OPS Collaboration Project and also contributes to the effective co-ordination and implementation of the administrative processes of the WHO Collaborating Centre for Obesity Prevention, Geelong Waterfront Campus, a unit of the Public Health Research Evaluation and Policy Cluster, to ensure that the staff can operate in an efficient and effective manner. 
     
    Principal Accountabilities:
    • Undertake and coordinate a range of administrative tasks to ensure that the administrative priorities of the CO-OPS Collaboration Project and theWHO Collaborating Centre for Obesity Prevention are achieved.
    • Liaise with academic and administrative staff across the University and with outside organisations on behalf of the CO-OPS Secretariat.
    • Support the research activities of the CO-OPS Collaboration Project andWHO Collaborating Centrefor Obesity Prevention by assisting with the tracking of research budgets; the compilation of grant applications, papers for publication and research reports; and supporting the management of electronic reference libraries (Endnote).
    • Establish and maintain a record keeping system for the CO-OPS Collaboration Project.
    • Support of communications for the CO-OPS Collaboration, including the preparation of e-newsletters and list serves and updating and maintaining the CO-OPS website and databases.
    • Assist with the organisation of national workshops and other functions and forums.
    • Assist with co-ordination of the CO-OPS training calendar.
    Typical Duties:
    • Working with the Manager, CO-OPS Collaboration and senior staff to manage the secretarial and administrative aspects of the research project and other projects of the WHO Collaborating Centre including the preparation, formatting and proof reading of documents, maintaining office supplies and responding to telephone enquiries.
    • Assist with the organisation and conduct of special events, training programs and national workshops.
    • Arranging meetings within and outside the WHO Collaborating Centre, liaising with academic, research and administrative staff within the Research Cluster, the Faculty and the Divisions and dealing with outside organisations on behalf of the team. Act as a secretary to committees, with duties which include preparation of agendas and the taking of minutes where required.
    • Booking and associated paperwork for travel arrangements for the CO-OPS Secretariat and Steering ????? ????? staff of the WHO Collaborating Centre and for visits by domestic and international collaborative partners (as required).
    • Maintenance and updating of the CO-OPS website and databases.
    • Assist with the production of CO-OPS resources including preparation of a regular newsletter and liaison with resource designers.
    • Supporting document production (such as grant applications, research reports, articles) using high level word processing and document programs (eg Informed Filler).
    • Assist in tracking research budgets, supporting ethics applications, and entering ????? ????? references using Endnote, and helping with manuscript preparation.
    • Undertake financial administration tasks such as raising purchase orders and processing invoices, and assist staff with petty cash reimbursements and credit card reconciliation.
