Business Support Coordinator - Toowoomba

An opportunity has arisen for an experienced Business Support Coordinator to join the Toowoomba team within a global consultancy. Based within the South Queensland Operating Centre, this pivotal position will involve establishing and developing strong working relationships with both internal and external customers. As a key function within a regional office of professionals, you will play an integral part in providing administration support to enable the team to achieve its business objectives. As a valued member within the business, this varied position will involve: - Preparing, obtaining and assessing detailed reports, schedules and cost reports for all stages of a project to assist job managers to deliver project outcomes on time and to budget
- Coordinating and assisting with invoices in conjunction with job managers for projects
- Managing the receptionist staff member
- Planning and coordination of marketing and client functions
- Preparation of standard professional terms of engagement for new commissions
- Assist in the facilitation of marketing opportunities and sponsorships, including maintaining marketing budgets
- Participating in monthly teleconferences with the other regional office business systems coordinators, finance team representatives and project controls
- Maintaining the central project document control system, including the project team, client and third party documentation
- Providing forecast assistance to job managers
- Working with job managers preparing ????? ?????
- Arranging travel, accommodation and car hire as and when required
- General administrative support to the Office Manager including diary management
- Understanding the demographics of a regional town and the geographical constraints of Toowoomba
- Being aware of job flow and project status within the office and be able to provide support and direction as and when required
With excellent communications skills combined with the ability to multi task a varied workload, the successful applicant will be a key team player to ensure the success of the Toowoomba regional office. You will have the desire to work within a supportive team and take ownership of challenges and provide solutions within the GHD business. The role will require an individual with extensive experience in office/administration management combined with excellent technical capabilities across the Microsoft Office suite. Experience working within a consultancy, technical environment would be an advantage.
